Managing a Review Period (Admins)

System Administrators: Use this guide to help you navigate through an active review period.

How To Check Status

Export a Status Report

  • Manage Reviews tab on the left hand side menu (Under System Management).

  • Click Periods on the template.

  • Open up the period by clicking the dropdown arrows on the right hand side.

  • Under Actions, click on the 3 line icon.

  • Select Export Status Report (CSV).

Check Status For Employee

  • Go to the active period in the manage reviews tab (steps 1 - 3 listed above).

  • Using the search bar, find the employee you are checking status on.

  • Under the Reviewers column, click the # / # (this is participants submitted out of total participants assigned to do the review).

  • Here, you will see if the participant(s) submitted or did not submit.

If you are using the publishing and sign off feature, you will follow these same steps to check status on those action items.

How To Return a Review For Revision

  • Manage Reviews tab on the left hand side menu (Under System Management).

  • Click Periods on the template.

  • Open up the period by clicking the dropdown arrows on the right hand side.

  • Using the search bar, find the employee who is being evaluated in this review.

  • Under the reviewers column, click the # / #.

  • Select the "Refresh" icon to send the review back to the employee.

How to Change Active Period

  • Manage Reviews tab on the left hand side menu (Under System Management).

  • Click Periods on the template.

  • Select the 3 line icon on the far right hand side of the period.

  • Click Edit Period.

  • In the active period, click into the calendar and adjust the timeframe for the active period. (First click the original date the review was launched and then select the new due date for this review).

  • Click Next then Save.

How to Change Participants

How to Remove Employee From Review

  • Manage Reviews tab on the left hand side menu (Under System Management).

  • Click Periods on the template.

  • Select the 3 line icon on the far right hand side of the period.

  • Click Edit Participants.

  • Find the employee you would like to remove and click the x to the right of their name.

Note: This will remove the employee from the review which includes any results that may have been submitted. To check if results were submitted on this employee before removing them, follow the steps above on “How To Check Status”.

  • Click Next then Save.

How to Add an Employee

  • Navigate to the edit participants screen (steps 1 - 4 listed above).

  • Use the buttons at the top to add the new employees being evaluated in this review.

  • After you add the employees, you will be asked to select their reviewers. Click the New tab at the top to do this.

  • Select the reviewers.

    • If this is a self evaluation, click “Select everyone to do self evaluation”.

    • If this is a manager evaluation, click “Select everyone to be reviewed by their direct manager”.

    • If this is both a self evaluation and manager evaluation, select both buttons.

    • If this is not a self evaluation for manager evaluation, use the dropdown to find the reviewers.

  • Click Next then Save.

How to Edit Participants

  • Navigate to the edit participants screen (steps 1 - 4 listed above).

  • Click Next and navigate to the “Choose Reviewers” screen.

  • Remove the evaluator or use the buttons / dropdown to add an additional reviewer.

  • Click Next then Save.

How to Send Reminder Emails

Option to send out reminders to reviewers who have not yet completed a review in the period.

  • Manage Reviews tab on the left hand side menu (Under System Management).

  • Click Periods on the template.

  • Open up the period.

  • Under actions, click the 3 line icon.

  • Select "Resend Invitations"

Performance Review Analytics

  • Manage Reviews tab on the left hand side menu (Under System Management).

  • Click the 3 line icon in the top right hand corner of the review, select Analytics.

  • Adjust the timeframe to the review period.

    • Review Period = Period of time employees were evaluated on.

  • Option to filter the results.

  • Export in the top right hand corner.

Download Results

  1. Manage Reviews tab.

  2. Click Periods on the review template.

  3. Open up the period by clicking the dropdown arrows on the left hand side.

  4. Using the search bar, find the employee.

  5. Click Personal Results on the right hand side to see the results.

6. Click the 3 line icon in the top right hand corner to export.
